Please note: These instructions will not be valid or functional until the official launch of UT Vault 2.0 on April 9th, 2025.
Issue/Question
- If you are in need of securely transferring data or sensitive documents from one user to another without risk of a data breach the UT Vault is the perfect file transfer service for you. Many of the documents that we handle on a daily basis contain sensitive data that is important to keep as secure as possible. These types of documents may include but are not limited to data related to HIPAA or FERPA or even anything that may contain Personal Identifiable Information (PII). With the UT Vault your data is encrypted throughout the entirety of the transfer process as well as throughout the duration of its temporary storage (14 days). Keep in mind that the vault is a secure file transfer solution, not to be confused with secure email messaging. ITS recommends using Microsoft Outlook’s Encrypt feature when sending secure email messages.
- Note: This system is not authorized for use with Controlled Unclassified Information (CUI).
Environment
- Accessible through your favorite Internet browser and available to anyone with a UT account. Even non-UT users may register to and use this service so long as they are sending data to a UT account.
How-To
- Open your preferred internet browser and go to https://utvault.tennessee.edu. You should see the screen below.

- Login with your UT credentials or register for an account if you are an external user. If you are logging in with your UT credentials, you will be prompted with a DUO prompt.
- Upon logging in, you will have the option to upload content or create a directory. You can upload content to store in your root folder and share through an encrypted email. Once you have uploaded your content, select the file and choose Share Files > Email.

- Once you choose to email the file, a window will appear allowing you to complete the message and any associated settings.

- Creating a directory on the primary window allows for you to index shared files to manage how and who you share information with.
Notes
- Send files up to 15 GB. Upload your files to share them with others.
- External users must create accounts to share files with you.
- Files remain available for 14 days.
