Setting a Department Code for a MFD

Issue/Question

  • User is needing a department code set to track and/or limit the usage of a copier.

Environment

  • Toshiba/Konica Minolta MFDs

Cause

  • Department Codes can be used to make sure that not just anyone can print to a copier and also can be used to associate specific print jobs and volume with specific users.

Resolution

  • Enter the hostname or IP address of the device you want to manage department codes for into the address bar of your browser.
  • Sign in as an administrator so that you will have access to the necessary settings.

            -Toshiba

  • Select the 'User Management' tab at the top of the screen.
  • From there navigate to the 'Department Management' sub-tab.

  • Select 'New'
  • Input name of the user who the code is associated with, and then type in the desired code.
  • Press 'Save' and the department code should be functional. 

            -Konica Minolta

  • Navigate to the 'User Auth/Account Track' Tab. Konica Minolta has updated their Web Connection User Interface so it may appear differently depending on the version you are using, a side-by-side comparison of the two can be seen below. 

  • Select the 'Account Track Settings' sub-tab.
  • Click the 'New Registration' button.
  • Input name of the user who the code is associated with, and then type in the desired code.
  • Click 'Ok' at the bottom of the screen and the department code should be functional. 

Notes

  • While Toshiba and Konica Minolta have very different web access user interfaces, the general paths you take on each are quite similar.
